1. Who we are
Camp Denman (“we”, “us”) operates campdenman.com: a creative camp on Denman Island, British Columbia, and Camp Denman Virtual Studio, the online membership for learning, creating, storing, and sharing creative work. These terms govern Virtual Studio and the website. Camp week reservations are additionally governed by the Booking Terms in section 7, which the acceptance you record at reservation time covers.
2. Accounts and age
You may sign in with Google or an emailed sign-in link. You are responsible for activity under your account.
Members under 18 may use Virtual Studio with features limited for their safety. Private messaging with members outside the Camp Denman team is available only to members whose recorded birth date shows they are 18 or older; an account without a birth date has the same limits as a minor's.
Guardians of camp participants may hold linked accounts for admissions and camp operations.
We may suspend or close accounts that break these terms, the law, or the safety of other members. Safety actions take effect immediately. Unless the law or member safety prevents it, we tell you the reason, and you may appeal in writing; we answer appeals within 14 days.
3. Memberships, trials, credits, refunds
Free membership includes a yearly credit allowance, limited Vault storage, and community access. Paid plans (billed monthly or annually through Stripe) include larger allowances and storage. The detailed membership contract is the Virtual Studio Terms, presented at checkout.
Public paid plans start with a 7-day trial that requires a card. The first charge happens when the trial ends unless you cancel first from Account. Trial allowances are smaller than paid allowances.
Credits are a retail unit for metered creative generation. They are not money, are not redeemable for cash, expire as disclosed when granted, and unused credits are not refunded. Each generation tool discloses its estimated credit cost before you run it; credits are held when a job starts and settled only when your output is safely captured to your Vault. Failed jobs release their hold.
Prices are shown in your storefront currency and may differ by region. Taxes are added where required. Subscription payments are non-refundable except where the law requires otherwise or we say so in writing.
4. Your content and your Vault
You own the work you upload and the work you make. We take only the license needed to operate the service: storing, processing, backing up, generating previews and thumbnails, and delivering your content to you and the people you share it with.
Nothing you keep in your Vault is published without an explicit, revocable publication step. Consent records are kept and revocable.
You are responsible for having the rights to what you upload and to the reference material you use in generation — including voices and likenesses, which require documented consent.
We may remove content that is unlawful, infringing, or endangers members, and will tell you when we do unless the law prevents it.
5. AI generation
Creative tools are metered and run through named third-party model providers; each tool names its provider and model before you run it. Outputs are captured privately to your Vault, and subject to the providers' terms and applicable law we claim no ownership of your outputs.
Adult (18+) content modes require a verified adult account and explicit confirmations, and remain private; they may not be shared, showcased, or used for training. Content involving real people requires their documented consent. Minors' likenesses and voices may never be used in biometric or generative tooling.
You may not use generation tools to create unlawful content, deceptive impersonations, or content that sexualizes minors — which we report where required by law.
6. Community and messaging
Community spaces and private messaging are moderated for safety; reports are reviewed by staff. Under-18 members can message Camp Denman staff and faculty only, and rooms marked for younger members hold their posts for a teacher's review before they appear.
Calls and messages travel through our communications provider; treat conversations with ordinary care and report abuse in-product.
7. Camp reservations (the Booking Terms)
This section is the Booking Terms for camp weeks: the agreement you accept when registering, together with the Privacy Notice. Every registration is an application and is reviewed by Camp Denman before acceptance. Payment holds your requested place during that review but does not guarantee acceptance. If your application is not accepted, we cancel the registration and refund everything you paid, including the application fee. Standard weeks run Sunday afternoon (4:00 PM arrival) to Friday morning (11:00 AM departure). An accepted registration covers canvas-tent lodging in the configuration you choose, three meals daily, studio access, camp programming and activities, shuttle service from Comox airport or the ferry, and the Virtual Studio membership months described at registration.
The fixed registration deposit (CAD $500 or USD $400 per booking unit) serves as the application fee. It is included in a pay-in-full registration, or collected today when you choose a deposit or monthly plan. The normal cancellation policy treats it as non-refundable after acceptance, but it is fully refunded if Camp Denman does not accept your application. Deposit balances are due 30 days before arrival. A monthly plan charges the fixed deposit plus the first installment at checkout; remaining installments are charged monthly and finish 30 days before your week begins. Checkout shows the exact amount due today, every future installment, and the final total before you continue to Stripe.
Installments use whole cents. If the balance does not divide evenly, the leftover cents are added once to the first installment; later installments stay equal and the sum never exceeds the booking total you approved. If a price, promotion, or schedule changes before checkout starts, we stop and ask you to review and confirm the new amounts.
Published prices are tax-exclusive. Canadian residents must certify Canadian residency and use a Canadian billing address to receive the domestic CAD rate. International guests use the USD rate and a non-Canadian billing address. When Camp Denman Society's GST registration is effective, checkout shows 5% GST separately on CAD and USD bookings before payment. Promo codes apply to the tax-exclusive booking subtotal; deposits stay fixed, so a discount reduces the remaining balance.
Cancellation schedule: cancelling 30 or more days before arrival refunds everything paid except the non-refundable deposit; 14–29 days before arrival refunds 50% of everything paid; under 14 days, payments are not refunded, though staff may offer credit toward a future week. Refunds are processed to the original payment method promptly, typically within 10 business days.
Even when the schedule above limits a refund, you may move your booking once, free of charge, to any other available week in the current or following season — email us and we will make the change.
If a monthly-plan payment fails, we will reach out to make it right before anything happens to your booking. If we ever have to cancel a week ourselves, you receive a full refund of everything paid, including the deposit.
International guests who require a Canadian visitor visa: if your visa application is refused, show us the refusal and we refund everything paid, less a CAD $200 administration fee.
Tent configurations are first come, first served. A shared bed means you may share your tent with other guests of your booking type; exclusive tents are yours alone. Our site hosts a maximum of 36 guests per week. Youth weeks (ages 13–18) are fully supervised; before arrival, a guardian must complete our camper forms, including emergency contact, health, and consent information — we send these after booking.
We are a rural island camp: weather, ferries, and nature set some of the schedule. We always deliver the week's programming, meals, and lodging, but specific activities may shift with conditions.
Bookings are personal to the named guests; reselling a booking is not permitted, though the free one-time move above covers most changes of plan.
Camp Denman may reject an application, or later cancel an accepted registration, if we determine a guest is not a fit for our community — including conduct or values that conflict with a welcoming, creative camp. If we reject or cancel for that reason, we refund everything you have paid for that registration, including the application fee.
8. Acceptable use
No unlawful use; no violating others' privacy, publicity, or intellectual-property rights; no harassment; no attempts to break, probe, or overload the service; no scraping members' content; no reselling credits or access.
9. Service changes, liability, disputes
We change and improve the service continuously and may alter or retire features; we will not materially reduce a paid plan mid-period without a proportionate remedy.
The service is provided “as is” to the fullest extent the law allows; our aggregate liability is limited to the amounts you paid us in the twelve months before a claim. Nothing limits liability that cannot be limited under British Columbia or other applicable consumer law.
These terms are governed by the laws of British Columbia, Canada, and disputes are heard exclusively in the courts of British Columbia. Before either of us files, the complaining party sends a written description of the dispute to the other, and we both try in good faith to resolve it for 30 days.
